Purpose & Disclaimer
This application is an internal payroll calculation tool for Foothills Cafe, operated by Argentum Solutions. It is provided for calculation and record-keeping purposes only and is not legal, tax, or accounting advice. Review every payroll for accuracy before paying employees. The employer remains responsible for compliance with federal and state wage and hour laws.
What Data Is Processed
Payroll runs process employee names, hourly wages, hours worked, and tip amounts, taken from Homebase timesheet exports, Square sales summaries, and uploaded photos of cash tip records. Stored data is encrypted at rest (AES-256-GCM) and in transit (TLS). Access requires a password, with automatic lockout after repeated failed attempts.
Service Providers
The following providers process data on this tool's behalf: Vercel (hosting), Upstash (encrypted storage), OpenAI (document text extraction and payroll audit; under OpenAI's API terms this data is not used to train models), and Square (sales and tip retrieval). No data is sold or shared for advertising.
Retention In This App
Processing jobs are deleted after 24 hours. Completed payroll sessions, including stored input files and audit history, are deleted after 30 days, and only the 5 most recent sessions are kept. This app is not the system of record.
Required Records (FLSA / New Hampshire)
Federal law (FLSA, 29 CFR Part 516) requires employers to keep payroll records for at least 3 years and the source records used to compute wages, such as timesheets, for at least 2 years. New Hampshire imposes its own record requirements (RSA 279:27). Because this app deletes data on the schedule above, export the payroll CSV (and the transparency bundle when enabled) after each run and retain the exports outside this app for at least 3 years.
Tip Pooling Notice
Under the FLSA, employers, managers, and supervisors may not keep any portion of employee tips. A tip pool may include back-of-house employees only where every participant is paid the full minimum wage and no tip credit is taken. New Hampshire law (RSA 279:26-b) treats tips as the property of the employee and permits pooling only on a voluntary basis. This tool distributes 100% of collected tips to eligible non-managerial staff; the split percentages and exclusions are configured by the operator and should be reviewed against current law periodically.
Access, Correction & Deletion
Employees may ask the payroll operator to view, correct, or delete their data. Individual sessions can be deleted from History (developer password required), and "Clear Data" removes locally stored data from this device. Transparency mode shows every input, the exact distribution math, and the full audit history for any saved run.
